Job Description
Our team is seeking a detail-oriented Executive Assistant to support our Founder/Creator in running four creative based organizations. This position requires a pertinacious go-getter with previous experience assisting executives in a fast-paced environment.
The right candidate is thoughtful, meticulous, solution-oriented, able to multitask, demonstrates excellent follow through, has exceptional organizational and communication skills, and exhibits exceptional professionalism.
Responsibilities Include:
- Managing professional/personal business which includes but is not limited to scheduling, emails, phone calls, travel, calendar management, mail pick up and send off, and any additional ad hoc tasks.
- Run the day-to-day operations and communications for four teams led by our Founder/Creator.
- Organize and shred legal and professional documents.
- Curate and cultivate healthy relationships with prospective and current clients.
- Take meeting notes for executive committees and leadership.
- Follow-up and follow through with all communications until all tasks and correspondence is resolved.
- Check-in to flights and contact the hotel for early check in, as needed.
- Be proactive in next steps and pathways to successfully complete all tasks.
- Perform light editing duties for email and marketing communications.
- Assist with payroll and Quickbooks invoicing.
- Build and maintain prospective and current client databases.
- Keep record of all receipts and support needs of the bookkeeper.
- Successful complete any and all administrative tasks such as contractor onboarding, contractor reimbursements, company file scanning and organizing, corporate gifting, contract support, purchasing of supplies/services.
- Create Canva and Google Slides presentations for client meetings and presentations.
- Set up a training platform for courses using Kajabi.
- Assist with all corporate and individual donor campaigns.
- Support marketing team on all digital/traditional marketing campaigns and public relations work.
$42,000-$52,000 per year + benefits
Required Experience / Skills / Education
Requirements
- A minimum of two years experience supporting upper management or equivalent experience
- Magnificent writing and verbal communication
- Excellent time management and promptness (lives by the phrase on-time is early and early in late)
- Proficiency in Google Suite and Canva
- Detailed-oriented
- Excellent writing skills with high quality grammar, spelling, and punctuation
- Ability to travel nationally and internationally with Founder/Creator (all travel, accommodations, and meals are covered by organization
- Must be vaccinated and boosted by start date
Combination of work from home and work from office after the completion of training.
